The mobile application is designed for Android and iOS. The fully cloud-based solution ensures that you have access to important information 24 hours a day, 7 days a week. Get a complete digital audit trail – see who approved what and when, what they wrote, and who currently has the document. Within the WorkFlow+ web application, you can immediately use approval processes for key documents: received and issued invoices, issued orders, quotations, requests, production plans, subcontracting orders, and many others. In the application, you can also view all tasks you have approved in the past, including all related information. Determine when mobile or email notifications are sent and define the appearance of your notifications.
If you do not have sufficient information to approve a task, you can create an additional task and obtain more information from your colleagues. If you receive a task for which you do not have the necessary authority, you can delegate it to a colleague. You can also return the approval process to the previous level if you are not satisfied with its prior course. You can easily configure substitution for a specific type of document (e.g. invoices only) or across all your tasks. The entire approval process is always available on the web and in Helios, including all information, document attachments, and document items. The web environment also provides an overview of statistics for completed and active tasks within the domain.
Create both simple and complex approval scenarios directly in the web application, with an unlimited number of levels according to your company’s needs. Use automatic evaluation of defined conditions against all available document information and route the task to a specific user, user group, project team role, or role within the company’s organisational structure. You can define conditions under which the approval process cannot be started (e.g. when the document does not contain attachments). You determine which actions approvers may perform – whether they can edit document information, work with documents, reallocate items to different accounting dimensions, or split them into multiple parts.
If you use Helios for multiple companies, connect them all within a single approval system, manage tasks from different companies in one clear environment, and configure approval scenarios across the holding company. You can easily include external workers in the approval process without giving them direct access to your Helios system. You manage their accounts and permissions yourself. During approval, you can modify the document, add information, and actively work with attachments, while all changes are controlled and immediately available directly in Helios. Simply upload attachments through the web environment and the system immediately transfers them online to Helios. WorkFlow+ also enables users to create selected documents directly.
